The Department of Cultural and Community Engagement and its component divisions (collectively, “the Department”) may sometimes collect personally identifiable information (“PII”). This Privacy Notice informs you about the collection, use, and protection of any PII you may provide the Department. It also describes how you may manage your PII and how to contact us with questions or concerns.
Data We May Collect
The Department may at times request certain PII from you. This PII may include, but is not limited to:
- Name
- Birthdate
- Address
- Email address
- Phone number
- Demographic information
Purposes and Uses of PII
Our collection of PII helps us deliver quality service to the public by keeping track of membership in Department organizations, contacting patrons about upcoming events of interest, etc. It may also be required to help us meet legal, financial, and reporting obligations.
Refusal to Provide PII
If you choose not to provide PII when requested by the Department, your ability to use and enjoy the Department’s services may be negatively affected. For example, the Utah Historical Society (“Society”) publishes a magazine for those who wish to receive it. Failure to provide the required PII may prevent the Society from knowing who should receive the magazine. Likewise, the State Library Division provides blind and visually-impaired readers with access to an extensive Braille and large-print catalog. Failure to provide the necessary PII may prevent you from being able to register for and enjoy these services.
Sharing and Selling of Personal Data
The Department does not sell PII to third parties. PII may be shared with Department affiliates, subsidiaries, employees, contractors, or authorized agents for the purpose of delivering services and support such as those described above. The Department may also disclose personal information when required to do so by a valid court order. The Department does not share PII in response to requests under the Government Records Access and Management Act (“GRAMA”) unless expressly permitted by GRAMA.
Third-Party Services
By using any third-party services provided through the Department, you acknowledge and consent to the sharing of necessary PII with these third-party service providers. The Department does not control how third parties handle your data, and we encourage you to review their privacy policies before use. We assume no responsibility for the independent policies, practices, and terms of use of such third-party platforms, websites, and applications. You should contact these third parties directly if you have any questions about their use of the PII that they collect.
Retention of PII
Subject to applicable legal, regulatory, or operational obligations such as the Department’s retention schedule, the Department retains PII no longer than necessary to support the effective delivery of Department services. When PII is no longer required, the Department securely disposes of or anonymizes PII in accordance with its data retention and privacy policies.

If you are an at-risk employee, you may request that your personal data be classified as a private record under Utah Code 63A-19-408(1). “At-risk government employee” means a current or former:
- peace officer as specified in Section 53-13-102;
- state or federal judge of an appellate, district, justice, or juvenile court, or court commissioner;
- judge authorized by Title 39A, Chapter 5, Utah Code of Military Justice;
- judge authorized by Armed Forces, Title 10, United States Code;
- federal prosecutor;
- prosecutor appointed pursuant to Armed Forces, Title 10, United States Code;
- law enforcement official as defined in Section 53-5a-311;
- prosecutor authorized by Title 39A, Chapter 5, Utah Code of Military Justice; or
- state or local government employee who, because of the unique nature of the employee's regular work assignments or because of one or more recent credible threats directed to or against the employee, would be at immediate and substantial risk of physical harm if the employee's personal information is disclosed.
